The Radiology Communication Specialist functions primarily as a department liaison to the referring physician office/clinic to facilitate the critical result system as well as patient incidental findings. As appropriate, consults with section supervisors/coordinators, radiologists, technologists, and business services staff, to coordinate all critical results, incidental findings, and related tasks to achieve timely and efficient patient care. The RCS is responsible for accurately aligning activities and making sound decisions related to sequencing of complex radiology procedures with laboratory procedures, clinic appointments, and/or OR procedures in coordination with physician schedules or multiple patient appointments. To that end, they are expected to be competent with various computer based healthcare applications, familiar with all imaging modalities, have an appropriate understanding of basic anatomy and most important understand the importance of a critical finding as it relates to patient care and safety. The personal attributes necessary for this position require exceptional interpersonal /communication skills, attention to detail, documentation and organizational skills, self-motivation, and good independent judgment. To meet the staffing needs of the department, as necessary, RCS may be assigned at any of the YNHHS locations, regardless of regularly assigned work location.

Responsibilities

  • 1. Provides optimum Customer Service to Referring Clinicians related to delivery of Critical Results
    • 1.1 1.1 Ensures all critical results have been received electronically or via phone call by the referring clinicians meeting department compliance 1.2 Documents communication process electronically to verify the critical result message has been received by the responsible provider to ensure critical results do not fall out of compliance. 1.3 Identifies and reports to the IT team when provider contact information requires updating. 1.4 Manually resolves critical results messages following Communication Command Center policies and procedures
  • 2. Responds to Imaging and results requests by telephone, fax or in person professionally and respectfully.
    • 2.1 2.1 Accountable for meeting or exceeding department standards related to telephone response times as identified by Sr. Manager for Business Services 2.2 Responsible for following telephone etiquette as identified and monitored for QA purposes by Sr. Manager Rad Business Services. 2.3 Responsible for timely delivery of telephone communications between Radiologists and clinicians following DR /YNHH Customer Service requirements
  • 3. Facilitates the coordination of all visits with regards to incidental findings from imaging exams.
    • 3.1 3.1 Reviews imaging reports and extracts information to facilitate the imaging visit for patients who present with incidental findings on past imaging exams. 3.2 With a strong focus on excellent patient care uses active listening and interviewing skills when interacting with patients, families, colleagues and referring physicians. 3.2 Communicates with ordering providers and referring MDs to determine most appropriate imaging exam to ensure the needs of the patient are satisfied. 3.3 Works with department leads and clinical staff to ensure exams are coordinated meeting all department guidelines.
  • 4. Monitors the importing of Non-YNHH images
    • 4.1 4.1 Accurately schedules "outside? images following DR Customer Service Policies and procedures to ensure timely retrieval 4.2 Confirms NON YNHH images are accurately "filed? in electronic folders in PACS as identified by DR. Customer Service Policies and procedures ensuring timely access to images 4.3 Provides feedback to referring providers and IT when Non YNHH Images have failed during the Importing process and are inaccessible in the YNHH PACS
  • 5. Coverage within the Radiology Department as needed and as required.

Qualifications

EDUCATION


Associate degree in Business or Healthcare Sciences / Administration strongly preferred or equivalent directly related experience required


EXPERIENCE


Minimum of three (3) years experience in a clinical healthcare setting. Direct experience coordinating and facilitating patient appointments required. Understanding of medical terminology, clinical procedures, and/or Radiology strongly preferred. Must have computer experience.

SPECIAL SKILLS


Excellent telephone and face to face communication skills. Individual must also have the ability to access various computer systems and applications with an understanding of time sensitive and critical material. Ability to be 'Grace Under Fire' in a high volume, high demand position. Adaptability to a technical and clinical environment displaying good judgement and willingness to embrace challenging situations for the better good of the patient and department.
